Privacy Policy.

1. Introduction

Profound Dispatch & Logistics LLC ("we," "our," or "us") operates the profounddispatchlogistics.com platform (the "Service"). This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using the Service you agree to this Policy.

2. Information We Collect

To provide dispatch, fleet-management, and back-office services, we collect:

  • Account data: name, business name, email, phone, mailing address, MC/DOT numbers, EIN.
  • Onboarding documents: driver's license, medical card, W-9, Certificate of Insurance, IFTA, cab card, carrier packet documents, and other credentials you upload.
  • Load & billing data: origin, destination, mileage, rate confirmations, factoring invoices, BOL / POD photos, dispatch fees, weekly service invoices.
  • Operational metadata: pickup/delivery windows, load status timestamps, geofence check-ins, ETA calculations.
  • Communication data: emails, Telegram chat IDs (only when you explicitly link your Telegram account).
  • Technical data: IP address, browser type, device info, page views (via Google Analytics 4).

3. How We Use Your Information

  • Book loads, coordinate dispatch, and communicate with brokers on your behalf.
  • Generate invoices and process billing (including via QuickBooks Online).
  • Send transactional emails (booking confirmations, invoice paid, aging invoice reminders).
  • Route load notifications to your linked Telegram chat.
  • Track load progress, calculate ETAs, and share status with authorized dispatchers.
  • Analyze platform usage to improve the Service.
  • Comply with FMCSA, tax, and other legal obligations.

4. Third-Party Services & Data Sharing

We share only the data necessary to deliver the Service with these processors:

  • QuickBooks Online (Intuit Inc.) — customer records, invoices, and payment status. See Intuit Privacy Statement.
  • Google Maps Platform — origin, destination, and mid-transit locations for routing and ETA. See Google Privacy.
  • Resend — email delivery. See Resend Privacy.
  • Telegram — bot notifications routed to chat IDs you have linked. See Telegram Privacy.
  • Google Analytics 4 — anonymized usage analytics.
  • Emergent Object Storage & MongoDB Atlas — encrypted at-rest storage for documents and application data.

We do not sell your personal information. We do not share credentials or documents with brokers, factoring companies, or the public unless you explicitly instruct us to (for example, attaching a rate confirmation to a broker email).

5. Data Retention

We retain account data for as long as your account is active plus 7 years to comply with tax and transportation record-keeping obligations. You may request deletion of non-required records (e.g., load photos) at any time by emailing us.

6. Security

We use industry-standard security practices: HTTPS in transit, encryption-at-rest for stored documents, bcrypt-hashed passwords, JWT session tokens, Fernet-encrypted third-party OAuth tokens, and least-privilege access. No system is 100% secure — you are responsible for keeping your login credentials confidential.

7. Cookies & Tracking

We use essential cookies for authentication (session tokens) and a small number of analytics cookies via Google Analytics 4. You can disable non-essential cookies in your browser without breaking core functionality.

8. Your Rights

Depending on your jurisdiction (U.S. state, EU, UK, Canada), you may have the right to (a) access the personal data we hold about you, (b) request correction, (c) request deletion (subject to legal retention), (d) request a portable export, and (e) opt out of certain marketing communications. 9. Children

The Service is intended for commercial trucking users age 18+. We do not knowingly collect data from anyone under 18.

10. Changes to this Policy

We may update this Policy periodically. Material changes will be announced via email or an in-app notice. The "Last updated" date at the top of this page always reflects the current version.
